Job Posting for Assistant to the President of Carey

Essential Functions/Responsibilities:

The qualified candidate will be responsible for providing clerical and administrative support in the office of the President. Minimum qualifications include:

  •   Three to five years progressively responsible secretarial/administrative support experience in a corporate or academic environment
  •   Knowledge of MS Office Suite (word, excel, powerpoint); experience with donor management software an asset
  •   Demonstrated ability to exercise discretion with highly sensitive and confidential information
  •   Demonstrated ability to work in a team environment
  •   Demonstrated ability to organize, prioritize and complete multiple tasks within a fast-paced work environment
  •   Demonstrated ability to perform secretarial and clerical duties with deliberate speed and accuracy without immediate and constant supervision
  •   Demonstrated ability to exercise good judgment in recognizing scope of authority and   protecting confidential information
  •   Strong customer service, interpersonal and communication skills
  •   Demonstrated ability with social media, blogging, WordPress; experience with Adobe Photoshop and Adobe IndDsign an asset

 

Duties include

  •   Screen, prepare and edit correspondence, both written and email
  •   Appointment scheduling for the President
  •   Develop and maintain well organized filing systems that permits easy reference and rapid retrieval of information
  •   Provide accurate word-processing support by composing and/or editing a variety of documents. This includes many highly confidential correspondence, memoranda, contracts and proposals and visual presentations using PowerPoint
  •   Update donor database and compile monthly and ad hoc reports
  •   Assist with fundraising campaigns, including contacting donors and potential donors personally or by telephone
  •   Assist in planning and preparing for special events for donors
  •   Support the President and Carey Board Chair in preparation and documentation of Board  meetings
  •   Coordinate travel arrangements and create itineraries
  •   Special organizational and research projects as directed
  •   Update email distribution groups, updating wording and/or messages on website, ordering computers and/or programs as required
  •   Perform additional functions as directed or assumed on personal initiative
